Evaluation

1) Constraints

Legal: For our advert we chose not to do an audio visual advert as we may run into legal problems regarding copy right and publishing. If we had chosen to use it as an internet advert we could have put it on YouTube but that particular video website has been experiencing several problems recently to do with videos that have questionable content. Although we may have chosen to use a site other than YouTube someone may have copied it or it could have run into problems on another site also. We decided in the end not to take the risk.

Regulatory/Professional: Our advert was aimed at the general public so we decided to script it quite carefully as some members of the public may not have understood what we were saying. For example if we used common slang older people may not have understood and young children may not have understood either.

Financial: The main financial problems we had were regarding the red carpet, the award statues, printing of posters etc. We had trouble finding a red carpet within our budget but one of the other students knew someone in a shop that could get us great discount. Another problem we had was finding suitable awards within our budget we found quite difficult but our tutor Chris Beer looked around and found some that were suitable and within our price range. We also had to think about printing for posters, tickets leaflets and cue cards etc. because we didn’t have a very large budget we decided it would be best to do the printing and cutting out of the designs using our own man power and using the print room in the college.

2) Management and Time Management

Leadership: I took on a role of leadership when we trying to decide on a colour scheme for the night as everybody kept arguing about the various colours so I stood up and tried to get every body’s attention to put it to a vote. I always believe in democracy when it comes to making decisions that affect people as a whole. I believe that this was reasonably successful as we did manage to decide on a colour scheme. I also took on a role of a certain amount of leadership by allocating certain jobs to various people. I think this helped as there was less confusion about who was doing what and it meant people were not tripping over each other trying to do the same jobs.

Communication/Meeting Requirements: We had a meeting at the beginning of every lesson that both groups were together in. We each got into our individual teams (marketing, post-production, set design and script writing) and had meetings about what had been achieved since the last meeting, what was still left to be done and who was doing what job. We had a chance to speak and say our ideas and we tried to be as organised as possible, we used a bottle and the person who was holding it would be the only one allowed to speak. I think these meetings helped keep us all organised, it helped various members of the different teams understand what they were doing and it made it easier to communicate between the different teams.

Achieving Agreed Outcomes/Working to Time Scales: For our adverts we had to have the pitch done by a certain date and for the actual evening we had to have our various different jobs within our roles completed by the 20th June. We all met those timescales and as a result the evening ran smoothly. To make sure we had all of our jobs complete we discussed goals that we had to meet by the end of each lesson. As a time plan this worked very well. If we embark on a project like this again I think I would stick to the same sort of thing. Setting goals and delegating worked very well and I definitely think it would work with a wide variety of people.

3) Feedback
We have each had feedback from several different people. We have been told by the Principle of the college that it was a very good enjoyable evening. The tutors that attended all gave us very good feedback and peoples friends and families also gave us good feedback. Everybody I have spoken to tells me that their friends and family really enjoyed themselves and thought the evening went really smoothly and it was very professional. Overall I think my contribution to this project would have been accepted in a professional work place as with some tasks I went beyond what was expected. I also helped to organise my team and succeeded keeping many arguments at bay.

It's Over

We had the awards evening on Monday and went really well. We all had a really good time and the only thing that went wrong was someone hadn't filmed properly and there's nothing on one of the tapes from the camera at the back. We're just finishing off last bits of paperwork now and then it's done. A photographer turned up from the Crawley observer but he hasn't got back to me at all since he took the photos so I don't know whats going to happen with those. But it's all done now and we've nearly finished this year.

No Response

I sent some e-mails round to various local papers, followed them up with phone calls but it seems they arent interested. I'm disappointed because I spent ages working on the letter for the editors, I did about 5 draft copies and spent forever looking up the contact details for said editors just to get no response. Apart from that it's all going well. The marketing team (which I'm in) has nothing left top do now except wait for the results of the voting on the official poster design and official ticket design. The rest of the preparation is down to the editing team and the set design team.

Busy

Well it's all started now, we have officially got the ball rolling. For the past few Wednesdays we have been merging the two groups into one so that the different teams can get together and discuss what needs to be done. I am in the marketing team and after a few disagreements and clashes we are now gettring on okay. In the first merging lesson we managed to decide on a colour scheme for the awards: primary: red and gold secondary: black. We went for red because we are hoping to have a red carpet, we went for gold because the awards we will be handing out will be gold and we went for black because the studio we will be holding the event in is painted mainly in black. I have just written a request some local newspapers requesting a reporter or photographer to come to the evening and report on it. Hopefully all will go well!
